n8n and AI workflow automation

Turn repeated admin into a workflow that runs the same way each time, with a clear owner, error alerts, and a person in the loop where it matters.

Who it helps

  • Business owners who copy data between tools, produce the same documents repeatedly, or send the same confirmations by hand.
  • Agencies that want repeatable workflows for their own clients.

Problems this addresses

  • Information typed into one tool and then retyped into another.
  • Documents such as contracts assembled by hand from a template, then filed and emailed.
  • Inquiries that need sorting, summarizing or a first reply before someone can act.
  • Automations that fail silently, so nobody knows a step did not run.

What an engagement may include

  • n8n workflows that connect your CRM, forms, calendar, email and file storage.
  • Document workflows: fill a template from your data, save it to the right folder, create a PDF, and send a confirmation.
  • Error handling, so a failed step raises an alert instead of disappearing.
  • Review steps before anything customer-facing is sent or any record is changed, unless you decide otherwise.
  • AI-assisted steps for one bounded job at a time, described below.
  • Documentation of what each workflow does and where it runs, on your n8n or one agreed in the scope.

Examples of what is in scope

These describe the kind of work I do. They are not client case studies.

  • Contract paperwork from a template

A workflow that fills a document template from form or CRM data, files the result, produces a PDF and emails a confirmation. It is an example of scope, not a description of a published project.

  • Sorting inbound inquiries

An AI step reads a new message, labels its topic and drafts a short summary, then passes it to a person or a rule.

What I need to assess it

  • The tools involved, and the steps you take by hand today.
  • What a good result looks like, and what must never happen automatically.
  • How often the process runs and roughly how much data it handles.
  • Whether you already run n8n, or need it set up as part of the work.
  • API keys and account access only after we agree to work together, through a secure method. Never by email.

How delivery and support are agreed

  • Scope first: the trigger, each step, who reviews what, and how failures are reported.
  • One-time builds, fixes to existing workflows, and agreed monthly maintenance are all possible. Support terms are stated per engagement.
  • Third-party services can change their interfaces or pricing. We agree who watches for that and how changes are handled.

How AI is used, and what is not claimed

An AI step calls a language model to do one bounded job, such as sorting an inquiry by topic, summarizing a long message, extracting fields from text, or drafting wording for a person to edit.

Models can be wrong. That is why the default is a review step before anything reaches a customer or changes a record. Removing that review is your decision, made with the risk in view.

This is not a promise of autonomous business results, and it does not describe a custom model or an existing AI product.

The examples on this page describe scope, not past results. Project write-ups will be added once each has been checked and cleared for publication.

Next step: send a short brief

Send a short brief describing your platform, the problem and the outcome you want. I reply personally, and we agree the scope before any work begins.
